Covance Accounts Receivable, Analyst in Indianapolis, Indiana

Job Overview:

Note: This is a contract to hire position.

Responsibilities:

  • Performs periodic cash application review and analysis:

  • Ensure effective communication is occurring with Covance Shared Service provider and Covance collection group.

  • Monitor on Account cash application posting and duplicate payments to ensure that items are properly addressed on a timely basis.

  • Follow-up as needed to resolve outstanding amounts, seeking to reduce DSO and improving past due A/R aging.

  • Prepares monthly Top Ten narratives that describes complete account status by protocol of significant collection issues

  • Creates and maintains client aging reports for designated clients that may include collection status.

  • Must possess excellent organization skills and works efficiently with 3rd party invoicing entry systems to ensure that rejects are promptly resolved and all invoices are entered when information is available to ensure prompt payment.

  • Assists in monthly invoice processing as per customer process and ensure that invoicing and customer collections instructions are completed and current.

  • Must possess ability to understand specific customer invoice and budgetary approval process.

  • Prepares accurate and complete invoicing histories that include all activity. Accuracy of these reports is critical to ensure that proper budgets are prepared and outstanding receivables are collected.

  • Responsible to update all collection activities in the Client Profile Reporting that is integral to our collection process.

  • Makes process improvement suggestions related to collection and invoicing activities.

  • Position must be able to prioritize emails and voice mails from account managers, project managers and other Covance business units regarding clients’ financial accounts.

  • Proactively follow-up with appropriate Covance personnel and customers when unable to immediately resolve inquiry until the time when information is received to adequately fulfill request.

  • Participates in conference calls when applicable to deliver information to the client.

  • Summarizes details surrounding an event when customer’s service failure dictates a credit for a client and deliver to management with potential resolutions. Following management decision, facilitate the delivering of the information to the client and complete all actions items necessary for closing of the issue.

  • Responsible for placing collection calls on delinquent accounts, employing appropriate follow-up methods until payment has been received and making any recommendations for write off of customer accounts.

  • Responsible for receiving and resolving internal and external inquiries related to clients’ financial accounts on a timely basis.

  • The position interfaces with billing, client services, account managers, project managers, etc to obtain needed information to resolve clients’ questions.

  • Position must have ability to understand financial billing processes

  • Position must have ability to understand company services and commercial policies

  • Performs other related duties or special projects as assigned.

  • Assists Finance / Accounting management as required.

Qualifications:

  • BA , BS degree in Finance or Accounting or related field preferred or Associate degree in business or accounting.

Experience:

  • Minimum of one to two (1-2) years comparable experience.

  • Extensive knowledge of and ability to use spreadsheet packages. MS Excel proficiency required.

  • Ability to give and follow written and oral instructions, as well as be self-driven to achieve company and departmental objectives.

  • Outstanding verbal and written skills with exposure to senior management.

  • Strong planning, organizational, and problem solving skills

  • Prior use and demonstrated knowledge of ERP and Operational systems

  • Ability to understand billing processes, commercial policies and transaction flow among disparate systems.

Education/Qualifications:

  • BA , BS degree in Finance or Accounting or related field preferred or Associate degree in business or accounting.
